How we deal with information, personal data, cookies and online privacy.

Introduction

Vos Logistics Beheer B.V. attaches great importance to the careful and secure handling of privacy-sensitive information of its website visitors, applicants, employees, business relations, prospects, stakeholders, interested parties, etc. Vos Logistics Beheer B.V. has drawn up this privacy policy to provide insight into the processing of personal data that we do. Vos Logistics Beheer B.V. handles and secures the personal information entrusted to it with the utmost care.

Who are we?

Vos Logistics Beheer B.V., located at Veersemeer 10, 5347JN , Oss (Chamber of Commerce: 62083791) and all its subsidiaries, are responsible for the processing of personal data included in this policy and are therefore the "controller".

Vos Logistics Beheer B.V. (hereinafter: Vos Logistics) sometimes engages other companies to perform services for it (so-called "processors"), but Vos Logistics remains responsible for the processing of your personal data in these situations. Vos Logistics makes contractual agreements with these companies/processors about the handling of your personal data. Among other things, it is stipulated that the handling and security of your personal data is at least the same as is the case with Vos Logistics. Your privacy is therefore guaranteed. 

Why do we collect your personal data?

Of course, Vos Logistics only processes data if one or more of the legal requirements mentioned below are met. Vos Logistics processes the personal data for the following purposes:

If you want to apply for a job with us, in order to be able to execute an agreement, if you are a customer or supplier of ours, to provide you with information, if you have indicated that you are interested in our services.

We therefore only process personal data if we need it to provide a service to (potential) customers or, for example, to enable people to apply for a job with us. The General Data Protection Regulation (EU) 2016/679 (GDPR) allows the processing of personal data in the following cases:

  • If this is necessary for the execution of an agreement (e.g. agreements with customers/suppliers, etc.);
  • In connection with a legal obligation (Vos Logistics must of course comply with the law such as obligations under tax law, labor law, or other applicable national and EU legislation);
  • If it is necessary to protect vital interests (for example, in the event of a disaster, epidemic);
  • In connection with an assigned task of vital importance (e.g. special transport at the request of the government);
  • If there is a legitimate interest (in this case, we may collect personal data if this is necessary for normal business operations, we always notify data subjects in advance);
  • On the basis of the consent of the data subject (for example, if you give permission to send general documents to your private email address, we must register the email address).

What personal data do we collect from you?

Depending on the type of relationship we have with you, Vos Logistics may collect the following personal data:

Applicants

Vos Logistics can process the following data when you apply for a job with us:

  • Name, Surname, address, place of residence, e-mail address, telephone number and possible other contact details;
  • Date of birth, gender;
  • Education and application data, such as Curriculum vitae (CV), information about education, internships and work experience and any other personal data that you mention on it;
  • The motivation letter, including any other personal data that you mention in it;
  • Other data that is (or may be) important in the context of the assessment of the candidate's suitability, for example references, diplomas and certificates and data regarding work experience, this data is of course also provided to us by you.

Where an assessment is part of the application process, we may engage an external party to whom we provide your data (See also section “Third Parties”).

Business relations (customers/suppliers)

If you have a business relationship with Vos Logistics in the context of which we have concluded or will enter into an agreement with you in which you will use our services, we may process the following data:

  • Name, Surname and address details of your organization, your suppliers and customers (in connection with the execution of assignments you have given);
  • Name, Surname of the contact person(s) of your organization, your suppliers and customers;
  • Contact details, i.e. the direct email addresses and/or telephone numbers of the relevant contact person(s);
  • Other data that is necessary for the execution of the agreement, such as the bank account number of the organization.

Interested parties

For persons who are interested in our services and who have registered for the provision of information, we only keep:

  • Name and address of the organization. The Name, Surname and possibly the address details of the contact persons;
  • Email address and telephone number.

Website visitors

If you visit our website, we do not store any directly recognizable data about you. However, the following and completely anonymous information is stored for statistical purposes:

  • Which pages you visit on our website;
  • Your computer's IP address (anonymized).

This data is only used to improve our website. For the use of Cookies, please refer to our Cookie Policy on the website.

Your rights

We value that you can easily make use of your legal rights with regard to the processing of your personal data by Vos Logistics. The rights you have are the following:

  • Access – You have the right to access the personal data that we process about you;
  • Rectification and/or supplementation: You have the right to rectification or completion of personal data if they are incorrect or incomplete;
  • Oblivion/deletion: You can invoke the right to be forgotten/erasure, for example if personal data is no longer necessary for the purposes, if consent for processing is withdrawn or if there is unlawful processing;
  • Objection: You can object to the processing of your personal data if there are reasons for doing so in a specific situation;
  • Restriction of processing: You can also exercise the right to restriction of processing. This right means that the restriction of the processing of personal data can be requested if the accuracy thereof has not been established, if the processing is unlawful and/or Vos Logistics would oppose the deletion of the data while it does not (or no longer) need the personal data;
  • Data portability: You have the right to data portability. This means that a request can be made to transfer the personal data provided to Vos Logistics to another party.

Of course, Vos Logistics needs your personal data to fulfil the agreements made with you. It is therefore not in all cases that Vos Logistics can or may comply with submitted requests. Before Vos Logistics takes action in response to a request, and/or provides information, it will have to verify and be able to establish the identity of the submitter of the request. You will receive a response to the request within four weeks thereafter.

Third parties

Vos Logistics uses the services of other parties, such as a supplier of customer management systems, accounting systems, hosting services, etc. Such suppliers are referred to as "Processors". These Processors may only use the data for the instructions that Vos Logistics has given them. Such Processors must also apply the same security requirements as Vos Logistics and are obliged to comply with the GDPR legislation, even if it should change in the future. All these agreements are laid down in the (processing) agreement that Vos Logistics has concluded with these parties.

Vos Logistics does not share personal data with parties located outside the European Economic Area (EEA), unless there is a specific and justified reason to do so. In such cases, appropriate safeguards are implemented in accordance with the GDPR, such as Standard Contractual Clauses (SCCs), adequacy decisions by the European Commission, or other legally recognized mechanisms to ensure the protection of personal data.

Security

Vos Logistics does everything in its power to optimally protect your personal data against unlawful use. We do this by means of physical, administrative, organizational and technical measures. We keep an eye on new developments in the field of security and, if applicable, take them into account.

Retention period

Vos Logistics does not store personal data longer than is necessary for the purpose of the processing and in accordance with the statutory retention periods. These can vary from situation to situation, but to explain a number of retention periods:

Applicants

Of course, an applicant provides his own personal data to Vos Logistics. For applicants who have not given permission for a longer retention period, the data will be stored for a maximum of four weeks. If an applicant would like their own data to be stored at Vos Logistics for a longer period of time for possible future positions, the applicant must give explicit permission for this. In those cases, the data will be stored for a maximum of one year.

Business relations (customers/suppliers)

The data of our customers and suppliers are kept for as long as the relationship continues. After that, the data will be kept for as long as there is a legal obligation. In many cases, this is a maximum of seven years.

Alterations

Vos Logistics may make changes to this privacy policy. This policy will be reviewed every three years, or sooner if necessary. This is the version of September 2025.
